01 / PURPOSE & SCOPE

A focused rule with a defined boundary.

Current Element Esports positions are volunteer-only unless a separate signed agreement expressly states otherwise. Recruiting must accurately describe the role, status, expected time, decision authority, reporting line, risks, equipment, and any compensation or benefits.

This policy covers applicants, onboarding, probationary or introductory periods, access, role changes, performance support, time away, resignation, restructuring, removal, and offboarding for adult staff, members, players, creators, and guardian-approved minor pathways where eligible.

02 / CORE STANDARDS

Truthful recruiting

Do not imply wages, guaranteed exposure, prizes, advancement, sponsorship, employment, or future payment that has not been authorized.

Role clarity

Provide title, lead, duties, authority, expected availability, tools, evaluation criteria, and volunteer status before acceptance.

Proportionate screening

Use only checks relevant to access, safeguarding, money, minors, security, public authority, or competitive responsibility.

Access follows duty

Complete required acknowledgments and training before receiving elevated permissions; remove unused access promptly.

Sustainable service

Members may request time away, reduced workload, reassignment, or resignation without shame; critical work still requires responsible notice and handoff where practical.

Orderly separation

Return property, transfer files and accounts, remove permissions, preserve required records, settle authorized obligations, and communicate status accurately.

03 / PROCESS

  3. AcceptIssue written role details, status, policies, agreements, reporting line, and start conditions.
  4. OnboardComplete acknowledgments, training, introductions, access setup, objectives, and early check-ins.
  5. Support and reviewClarify expectations, recognize work, address barriers, document material changes, and use coaching before discipline when appropriate.
  6. SeparateRecord resignation, expiration, restructuring, inactivity, or removal; complete access, property, record, and communication steps.

04 / AUTHORITY & LIMITS

Volunteer does not mean disposable.

  • Volunteer status does not eliminate safeguarding, privacy, anti-harassment, fair-review, or non-retaliation standards.
  • Element Esports retains management authority to select roles, restructure, limit access, or end participation, subject to its policies and completed agreements.
  • No minor may hold staff, management, moderator, coaching, formal competition, financial, partnership, or other adult-authority roles.
  • Resignation should normally be accepted without penalty; confidentiality, property, intellectual-property, payment, safety, and record obligations may survive when lawfully agreed.
  • Inactivity should be addressed through contact and status review rather than silent public removal when practical.

05 / ACCOUNTABILITY

Document, correct, and improve.

Formal corrective action and contested involuntary separation follow Discipline & Appeals. Emergency account, safety, safeguarding, integrity, or evidence restrictions may take effect immediately as protective measures.
