Safety before access.
This policy applies to owners, management, staff, coaches, team personnel, adult players, creators, volunteers, contractors, partners acting on behalf of Element Esports, and anyone participating in an Element-Esports-controlled program or channel.
It applies to Discord, email, direct messages, voice or video calls, streams, social media, game platforms, online tournaments, practices, meetings, content production, and any other interaction connected to the organization. The separate Minor Participation Policy defines who may join and in what capacity.
02 / LEADERSHIP & RESPONSIBILITY
Every adult protects the space.
Element Esports Ownership and Leadership administer this policy until a designated Safeguarding Lead is appointed. Every adult participant is responsible for maintaining boundaries, interrupting unsafe behavior, preserving relevant evidence, and reporting reasonable concerns promptly.
- LeadershipMaintains the policy, receives reports, controls access, coordinates responses, and reviews whether additional training, screening, or restrictions are needed.
- Team and program leadsKeep communication observable, include guardians appropriately, monitor group spaces, and escalate concerns rather than privately investigating them.
- All participantsRespect boundaries, avoid retaliation, and report suspected grooming, abuse, exploitation, or serious policy violations.
03 / ADULT-MINOR CONTACT
Open, observable, interruptible.
Organization-related interaction between an adult and a minor must remain open and transparent. Whenever practical, another authorized adult or the minor’s parent or legal guardian must be included and able to observe or interrupt the interaction.
- Use official, logged organization channels for scheduling, coaching, review, and program communication
- Include a parent, legal guardian, or second authorized adult on electronic communications
- Use group voice and video channels instead of private one-on-one calls
- Permit a parent or legal guardian to observe online practices, reviews, meetings, and tournaments
- Document any unavoidable one-on-one contact and notify leadership and the guardian promptly
Disappearing messages, secret accounts, requests to move conversations away from monitored channels, and instructions to hide communication from a guardian are prohibited.
04 / PROHIBITED CONDUCT
No ambiguity around boundaries.
- Sexual conductSexual, romantic, suggestive, or flirtatious conduct between an adult participant and a minor is prohibited regardless of claimed consent.
- Grooming and secrecyBuilding secret relationships, testing boundaries, isolating a minor, creating dependency, or asking a minor to conceal communication is prohibited.
- Harassment and hazingBullying, humiliation, threats, coercion, retaliation, discriminatory conduct, and initiation practices are prohibited.
- Personal materialAdults may not request intimate images, sexual content, private medical details, home addresses, school schedules, passwords, financial data, or other unnecessary sensitive information from minors.
- Gifts and favoritismPrivate gifts, money, special access, or favors that create secrecy, obligation, leverage, or unequal dependence are prohibited.
- Substances and mature productsMinors may not be included in promotions or activities involving alcohol, nicotine, cannabis, gambling, wagering, sexually explicit material, or age-restricted products.
05 / ONLINE PROGRAM SAFETY
Remote does not mean unmonitored.
- Separate staff permissions from ordinary community access and review them regularly
- Use moderated team, academy, creator, and guardian-visible channels
- Avoid publishing a minor’s address, school, routine, private schedule, or real-time location
- Obtain written guardian permission before identifying, featuring, streaming, or promoting a minor through official content
- Follow each platform and tournament organizer’s age rules, safety tools, and reporting process
- Do not arrange organization-sponsored transportation, lodging, travel, or in-person meetings involving minors
06 / REPORTING
Report first. Do not investigate alone.
Concerns may be reported to contact@elementesports.com with the subject “Safeguarding Concern.” Reports should include what happened, when and where it occurred, who was involved, whether a minor faces immediate risk, and any relevant screenshots, message links, usernames, or tournament information.
Contact emergency services or the appropriate child-protection or law-enforcement authority first. In Pennsylvania, ChildLine accepts reports of suspected child abuse or child well-being concerns 24/7 at 1-800-932-0313. Online exploitation may also be reported through the appropriate platform or law-enforcement channel.
Do not confront an alleged offender, promise absolute confidentiality, or conduct an independent interview of a minor. Preserve original evidence and limit discussion to people who need to respond.
07 / RESPONSE & NON-RETALIATION
Protect people while facts are reviewed.
Element Esports may temporarily restrict accounts, remove channel access, pause participation, separate individuals, notify a guardian, preserve records, contact a platform or tournament, or refer a matter to authorities while a concern is reviewed. A temporary action is protective and does not by itself establish misconduct.
Retaliation, intimidation, punishment, or social pressure against a person who makes a good-faith report, assists a review, or asks for help is prohibited. Knowingly false or malicious reports may be addressed separately, but an unsubstantiated concern is not automatically a false report.
08 / SCREENING & REVIEW
Access follows responsibility.
Adults given regular authority over minors must receive the policy, acknowledge their responsibilities, and use only approved communication structures. Element Esports may require identity verification, references, safeguarding education, and criminal or child-abuse clearances where legally required or reasonably appropriate for the role.
This policy will be reviewed after a significant incident, material program change, legal development, or at least annually while minors remain eligible to participate.
